Privacy Policy

This policy explains what CFM Distributors, Inc. (“cfm,” “we,” “us”) collects when you use this website, why we collect it, who we share it with, and what you can ask us to do about it.

We are a wholesale HVACR distributor. This site exists to let contractors and other trade customers see their pricing, place orders, pay invoices and look up parts. It is not a consumer store, and most of what we hold is business contact and transaction information rather than personal information. The significant exception is a credit application, which asks for personal information about owners and guarantors — that is covered specifically in section 3.

1.Information you give us

  • Account information. Your name, work email address, company, and the role assigned to you by your company's account administrator. Passwords are handled by our authentication provider and are stored only as a cryptographic hash — we cannot read your password.
  • Order information. What you order, quantities, purchase order or job names, delivery addresses, pickup store and times, delivery contact names and phone numbers, and any notes you add to an order.
  • Payment information. When you pay an invoice online, your card or bank details are collected directly by our payment processor. They do not pass through our servers and we do not store them. We retain the amount, the invoices paid, a payment reference and the last four digits of the instrument.
  • Credit applications. See section 3 — this is the most sensitive category and is handled differently from everything else here.
  • Messages and sign-ups. Anything you send us directly, and your email address if you subscribe to news and offers.

2.Information collected automatically

We keep this deliberately minimal, and all of it stays first-party. This site does not run advertising trackers, and we do not sell or share information for cross-context behavioral advertising. Our Cookie Policy lists every cookie individually.

  • Cookies. All first-party. Two are strictly functional: one holds your signed-in session, and one remembers which store you selected so pricing and availability show for the right location. Two more measure how the site itself is used — they hold a random identifier so we can tell one visit from another, and nothing about you. There are no advertising cookies and no third-party analytics.
  • How the site is used. We record what is searched, which products are viewed, and what is added to a cart, so we can fix what is slow or hard to find and stock what people are looking for. For signed-in customers this is linked to your account; for signed-out visits it is not linked to anyone. It stays in our own systems and is not sold, shared, or sent to an outside analytics service.
  • Server logs. Our hosting provider records standard request data (IP address, browser type, pages requested, timestamps) for security and troubleshooting.
  • Embedded third-party content. Some pages load content from other companies — a video on our About page, and manufacturer part images on parts lookup. Your browser contacts those providers directly to fetch that content, which means they can see your IP address. We use the privacy-enhanced video player, which does not set tracking cookies unless you press play.

3.Credit applications and Social Security numbers

Applying for a trade account on terms requires information about the business and, where an owner personally guarantees the account, information about that person — which can include a Social Security number, a driver's license number and bank references.

We do not store that information on this website. When you submit a credit application, the completed application is transmitted to our credit department and the sensitive fields are not written to the website's database. What we retain here is a record that an application was submitted — the business name, the contact who submitted it, a reference number, the date, and the last four digits of a Social Security number where one was provided — so that our credit team has a queue to work from and can answer “did my application go through?”

Once the application reaches our credit department it is handled under our internal credit and records practices, which are outside the scope of this website policy. 4.How we use information

  • To let you sign in, and to show your company's contract pricing and the stock at your store.
  • To take, fulfill, deliver, invoice and support your orders.
  • To evaluate credit applications and manage your account terms.
  • To process invoice payments and keep accurate accounts-receivable records.
  • To calculate sales tax on an order, which requires sending the ship-from and ship-to addresses and the line items to our tax provider.
  • To send transactional messages — order confirmations, receipts, account notices. These are not marketing and you cannot unsubscribe from them while you have an active account.
  • To send news and offers, if you asked for them. Every one of those has an unsubscribe link.
  • To operate a rewards program where your company participates.
  • To secure the site, prevent fraud and abuse, and meet our legal and tax obligations.

5.Who we share it with

We do not sell your information. We share it with service providers who perform functions on our behalf, and only what each one needs:

We may also disclose information when required by law, to enforce our agreements, to protect rights and safety, or in connection with a sale or reorganization of the business.

6.How long we keep it

Account and transaction records are kept for as long as your company has an active account with us and afterwards for as long as we need them for tax, accounting, warranty and legal purposes. Marketing subscriptions are kept until you unsubscribe. Records of credit applications are kept in line with our credit department's practices.

7.Security

Traffic to this site is encrypted in transit. Pricing, order history and invoices are visible only after you sign in, and only for the company your account belongs to. Access within our systems is limited to people who need it. No system is perfectly secure, and we cannot guarantee that a transmission to us is free from interception — please do not send Social Security numbers or bank details to us in ordinary email outside the credit application process.

8.Your choices

  • Marketing. Unsubscribe from any news or offers email, or ask us and we will remove you.
  • Access and correction. Ask us for a copy of the information we hold about you, or to correct it. Your company's account administrator can also change user details directly.
  • Deletion. Ask us to delete your user account. We will usually need to keep the underlying transaction records — invoices and orders are business and tax records.
  • State privacy rights. Some states give residents additional rights over personal information. Much of what we hold is business-contact information collected in a commercial context, which several of those laws treat differently, but we will honor a verifiable request regardless of where you live. 9.Children

This is a trade site for business customers. It is not directed to children and we do not knowingly collect information from anyone under 18.

10.Changes

We may update this policy. The effective date at the top will change, and material changes will be signposted on the site. Continuing to use the site after an update means you accept the revised policy.
